Purpose of Role

The Office Administrator ensures the smooth daily operation of the office by managing administrative tasks, maintaining a well-organized work environment, and supporting overall team productivity. By promoting efficiency and professionalism, the Office Administrator contributes to the organization’s overall success.
As part of the Administration Team, you will be responsible for providing a warm, professional, and efficient first point of contact for visitors, clients, and employees. You play a key role in representing the company’s image, managing communications, and supporting day-to-day administrative activities. The role ensures that front desk operations run smoothly and that the workplace remains welcoming and well organized.
As a member of the People, Branding and Sustainability team, you will also support basic HR-related activities.

Responsibilities

  • Managing the central telephone system, including handling incoming and outgoing calls
  • Managing the main company email inbox
  • Organizing business travel (booking hotels, purchasing airline tickets, and arranging car rentals for employees on business trips), ensuring compliance with the company’s travel policy
  • Coordinating guest visits
  • Ordering office supplies, maintaining appropriate inventory levels, and ensuring proper distribution of supplies
  • Supporting the onboarding process, including creating employee IDs and distributing welcome packages
  • Assisting with the organization of company events
  • Updating local policies related to daily reception and front desk operations
  • Other general administrative tasks as required

Our requirements

  • At least 2 years of experience within customer service
  • Fluent in English
  • Good MS Office skills
  • Strong communication, organizational, and interpersonal skills
  • Ethical, impartial, and objective approach to work
